AI for small businesses: get started in an afternoon – without paying

Three everyday tasks where AI saves small businesses time: emails, quotes and meeting notes. How to start for free and what to consider if you want more.

You do not need an IT department. Most small businesses get a long way with a free AI chat and a few good prompts.

Email: paste in a customer email and ask for a short, friendly reply that keeps all the facts. Quotes: give the AI your prices and terms and ask for a draft – always check the numbers yourself.

Meeting notes: Swedish Klang.ai transcribes and summarises meetings and has a free tier for one user (Freemium, according to Klang’s pricing page).

If your team wants to share AI, there are business plans, such as ChatGPT Business for two or more users – see the current price on OpenAI’s pricing page. Never enter sensitive customer data into a free consumer service.

How to get started

  1. Pick a free AI chat (ChatGPT, Gemini or Copilot).
  2. Save three prompts: email reply, quote draft, summary.
  3. Test them on three real tasks and review the result.
  4. Need more? Read about agents and business plans in the Agent Workshop.
