Agent Workshop – build your first AI agent for your small business
An AI agent is an AI assistant with fixed instructions, its own knowledge (your documents) and sometimes tools such as email or calendar. Here you get a practical guide and ready-made instructions for five agents most small businesses can use. Free, and no coding needed.

1. Start small
Pick one task that eats time every week.
2. Write the instruction
Role, goal, knowledge, rules, format, and when a human takes over.
3. Test hard
Ask 20 real questions, including tough ones. Adjust.
4. Human in the loop
Let the agent suggest and a human send, until you trust it.
Which tool should you choose?
| Tool | Good for | How to build | Good to know (checked 16 Oct 2026) |
|---|---|---|---|
| ChatGPT (custom GPTs / plugins) | Internal assistant with instructions and files | GPTs → Create, fill in instructions, upload knowledge, optionally add actions (API). | OpenAI is replacing custom GPTs with plugins. According to OpenAI, new GPTs are planned to no longer be creatable from 26 Oct 2026, and existing ones move to plugins (instructions become a skill, files come along, custom actions must be rebuilt). Keep your instructions saved as text. |
| Claude Projects | Long documents, writing and analysis at work | claude.ai/projects → New Project → Set project instructions → upload files as knowledge. | Also on the free plan (max 5 projects). Chats in a project do not share memory, only the project knowledge and instructions. |
| Gemini (Gems → Skills) | Businesses that run Gmail, Docs and Drive | Gems → New Gem, name and instructions, Knowledge → Add files, Save. | Google is replacing Gems with Skills: from Nov 2026 for personal accounts and from March 2027 for Workspace businesses, and Gems move over automatically. Skills can be uploaded as a SKILL.md file. |
| Microsoft Copilot Studio | Customer service bot on the web, in Teams or SharePoint, for businesses on Microsoft 365 | Describe the agent, add knowledge (website, files, SharePoint), test, Publish and embed on your website. | Publishing creates a demo site for testing. Your real website gets the agent via a code snippet. Requires a licence, so check the price with Microsoft. |
| Zapier, Make, n8n (no-code) | Agents that do things in your apps: email, CRM, calendar | Zapier Agents: New agent, instructions, connect apps, Publish. Make: AI Agents in scenarios. n8n: AI Agent node with a model and at least one tool. | Zapier is moving Agents into "AI by Zapier". n8n can run on your own server, which can make GDPR easier. |
Features and names change often. We check against the vendors' official help pages (see sources below). Prices are in the catalog. →

GDPR and responsibility – in short
- The business is responsible for what the agent tells customers.
- Share as little personal data as possible and use business plans with a data processing agreement.
- Tell customers they are talking to an AI and give them a route to a human.
- Do not let the agent make decisions about money or contracts on its own.
