AI that writes emails: get a draft in 30 seconds (without sounding like a robot)
A bot, meaning an AI you chat with such as ChatGPT, Gemini or Copilot, can write the first draft of awkward emails. Here is a prompt template and advice on when to write it yourself.
Most people do not need an expensive subscription to get help with email. The free versions of ChatGPT, Gemini and Microsoft Copilot are often enough for everyday emails, reminders and polite refusals. The point is not to send the reply as it is, but to get a draft that you shorten, correct and make your own.
Give the bot four things: (1) who you are and who the recipient is, (2) what you want to achieve, (3) tone (short, friendly or firm) and (4) facts that must be included. Ask it to ask you three questions before writing if anything is missing. That reduces the risk of generic phrases.
Feel free to copy this template: "You are my email assistant. Write an email in English of no more than 120 words. Recipient: [role]. Purpose: [goal]. Tone: [friendly/firm/neutral]. Facts that must be included: [points]. Ask me three things first if you need more. Then give a subject line and body text. Mark [PLACEHOLDER] where I need to fill in."
Always write it yourself when it comes to resignations, contracts, sensitive HR matters, health information or anything that could become a conflict. Never let the bot invent prices, dates or promises, and do not paste ID numbers or sensitive customer data into a free service. Free is enough for most people. Only pay when you hit the limit every week, for example ChatGPT Go (approx. SEK 85/month) or Plus (approx. SEK 249/month) according to OpenAI's Swedish price page in October 2026.
How to get started
- Choose a bot you already have (ChatGPT, Gemini or Copilot) and start free.
- Paste the template and fill in recipient, purpose, tone and facts.
- Shorten the reply, remove clichés and check names, dates and attachments.
- Save your best email prompts in a document so you can reuse them. You will find more ready-made prompts in the Prompt Workshop.
